2025 Event Planning
- Event timeline:
- 15+ weeks prior to the event’s start date:
- Event planner submits an Event Idea form to the Events Coordinator for approval or denial.
- For events less than 15 weeks away, the event planner must contact the Events Coordinator for special approval.
- 12-15 weeks prior to the event’s start date:
- The Events Coordinator and Marketing Specialist create the event’s public description for the website.
- The public description is sent to the event planner for approval, then to the Web & Graphic Design Specialist to use in the creation of posters and handouts.
- If needed, the event planner submits a supply request in reply to the event approval email, carbon-copying (CC) the Administrative Coordinator.
- If needed, the Events Coordinator and event planner work together to create a contract and send it to the event’s presenter.
- If needed, rooms are reserved for the event:
- The Events Coordinator is responsible for reserving rooms for Wausau events.
- Branch coordinators are responsible for reserving rooms at their branch or local venues.
- The Events Coordinator and Marketing Specialist create the event’s public description for the website.
- 2-6 weeks prior to the event’s start date:
- The Web & Graphic Design Specialist distributes posters and handouts to event planners at least four weeks prior to the event start date.
- If the Event Idea form was submitted after the 15-week deadline, print media will be completed as time allows.
- The Marketing Specialist begins to advertise the event via social media.
- The Marketing Specialist distributes press releases approximately two weeks prior to the event.
- Supplies are distributed to the event planner.
- The Web & Graphic Design Specialist distributes posters and handouts to event planners at least four weeks prior to the event start date.
- 0-2 weeks prior to the event’s start date:
- The Events Coordinator contacts the event’s presenter and confirms all details, including arrangements for any special equipment.
- The event planner is responsible for preparing the room for the event and ensuring the event proceeds as planned.
- 1 to 2 weeks after to the event’s end date:
- Event planner submits final attendance numbers and patron feedback.
- 15+ weeks prior to the event’s start date:
